Booking FAQs

Access

How do I get access to the booking portal?

You need a Hotels With Kids account to access the booking portal. You can create a Hotels With Kids here. If you’ve previously submitted a booking or planning request, you already have booking portal access using your provided email address.

How long does access take?

We’ll email you as soon as your access is ready, usually within an hour.

Why do I need an account?

The portal includes access to travel-advisor rates and perks that aren’t available to the general public, so access is limited to Hotels With Kids clients.

How do I delete my account?

Email your deletion request to help@hotelswithkids.com

Booking

When should I use the booking portal vs. submit a booking request?

Use the portal when you already know where you want to stay and the booking is relatively straightforward. Submit a booking or planning request if you need help choosing a hotel, figuring out the right room for your family, confirming occupancy, arranging connecting rooms, or planning a more complicated stay.

What hotels are available on the portal?

The portal includes a growing selection of hotels around the world. Many of the hotels featured on Hotels With Kids are available, along with many hotels that aren’t currently on our site.

Hotels With Kids is here to help you find the right hotel for your family, with family-specific information and search filters you won’t find on a traditional booking site. Once you know where you want to stay, the portal lets you compare available rooms, rates and perks and book on your own.

What if the hotel I want isn’t available on the portal?

Submit a booking request and we'll get back to you with pricing and a link to complete your booking.

Can you book the hotel for me instead?

Absolutely. If you’d rather have us book it, submit a booking request. There is no additional fee either way.

Rooms, Rates, & Perks

The portal says the hotel doesn’t support rates with kids. What should I do?

Unfortunately, this is a system limitation for some hotels (we will spare you the nitty-gritty details). You can either book the room using two adults and then email us with the number and ages of your children, or submit a booking request and have us handle it for you.

If you’re unsure whether your family will fit in a particular room, email us before booking. Hotel occupancy rules can sometimes be more flexible than they appear online — for example, a hotel may allow a baby in a crib, a child on a sofa, or a rollaway with prior approval. We’re happy to confirm with the hotel.

What if I need help choosing a room type?

Email us or submit a booking request. Room occupancy, connecting-room options, sofa beds, cribs, rollaways, and family-suite layouts can be surprisingly complicated, and we’re happy to help confirm the details.

Will I receive perks when I book through the portal?

Many portal rates include perks, but the exact benefits vary by hotel and rate. The portal will show any available perks before you book.

Are portal rates always the lowest?

Portal rates should generally be comparable to what you see on the hotel's website or on third-party booking sites. If you see a different rate or offer elsewhere, send it to us, and we can look to match it. Discounted rates often don't include perks.

After You Book

Am I still booking with Hotels With Kids if I book through the portal?

Yes. Even though you’re completing the booking yourself, your reservation stays connected to Hotels With Kids as your travel advisor. We’ll still be here to help before and during your stay.

Will Hotels With Kids know that I booked?

Yes. Your reservation is automatically connected to us, so you don’t need to send us your confirmation or let us know that you booked.

Do you monitor my reservation for price drops?

Yes. Portal bookings receive the same price-drop monitoring as bookings we make for our clients.

How can I change or cancel my reservation after I book?

Currently, you are not able to make changes or cancellations through the portal. We must make them for you.  Email us at help@hotelswithkids.com for changes or cancellations.

Should I book a non-refundable rate?

We generally don’t recommend non-refundable rates when traveling with kids — things come up.

That said, they can sometimes offer meaningful savings. If you choose a non-refundable rate, or one with a cancellation deadline well before your stay, we recommend travel insurance (we can help with this).
